General Service Agreement
This form details general information regarding the services provided by Balanced Beings. Please take care to read through this document and understand the terms and conditions laid out within. Balanced Beings reserves the right to update these terms from time to time. The most current version will be available upon request or via our website. We look forward to seeing you in your next consultation!
Standard Consultation Process
Initial Consultations
Balanced Beings requires a 50% deposit at the time of booking to secure the initial appointment. If this is not paid your appointment will be cancelled.
The remainder of your consultation fee is due the day of your appointment.
An initial consultation is the first step to starting the process with us at Balanced Beings. Our initial consultation process involves obtaining client and family medical history, information regarding health concerns and other pertinent information. This consultation will usually involve suggestions for further testing to find the root cause prior to the development of a treatment plan. This ensures we are treating based on results & evidence to give you the best treatment possible. Testing referrals may not be sent until the consultation invoice has been paid in full.
Booking deposits for initial consultations will be credited to your patient file if you cancel at any time before 48 hours prior to your scheduled appointment. If you cancel / reschedule inside the 48 hour window our cancellation fees apply.
Return Consultations
Our return consultation involves the presentation of test results and education of the clinical findings, individualised prescriptions (safe for you and your child's age) and integral dietary & lifestyle changes required for addressing the root cause. Please note that we are only able to assess up to 2 functional tests per return consultation due to appointment length.
Balanced Beings will send you an invoice prior or on the day of your appointment. The full invoice is due on the day of your consultation. Treatment plans, testing requests and product prescriptions may not be sent until the consultation invoice has been paid in full.
Membership Process
Initial Consultations
You will be prompted to book in an initial one on one session with one of our naturopaths when you begin your Balanced Beings Membership.

Our initial consultation process involves obtaining client and family medical history, information regarding health concerns and other pertinent information. This consultation will usually involve suggestions for further testing to find the root cause prior to the development of a treatment plan. This ensures we are treating based on results & evidence to give you the best treatment possible.
Fortnightly Modules
As part of the Balanced Beings Membership, clients progress through structured digital clinical modules delivered on a fortnightly cycle. Modules alternate between dietary updates and protocol updates to ensure progressive, responsive, and clinically appropriate care.
Each fortnightly module may include:
- Review of submitted client feedback and symptom tracking
- Dietary adjustments and nutritional guidance (where applicable)
- Supplement and protocol modifications (where applicable)
- Lifestyle recommendations and educational resources
- Practitioner oversight and clinical decision-making
All modules are delivered digitally and rely on the client completing required feedback forms within the allocated timeframe. Submission of these forms is essential for clinical review. Where required documentation is not submitted, Balanced Beings is unable to proceed with dietary or protocol updates for that cycle.
Depending on individual clinical needs, clients may also be required to complete dietary journals, lifestyle journals, or other tracking tools as part of their membership. These tools form part of the clinical assessment process and support personalised care.
Ongoing Fees
By enrolling in the Balanced Beings Membership, you agree to fortnightly recurring payments commencing from your start date.
You further agree to a minimum commitment period of three (3) months from your start date. This initial period allows sufficient time for assessment, implementation, and meaningful review of your personalised protocol. Cancellations are not permitted within the first three months.
Following the initial three-month period, your Membership will automatically continue on a fortnightly recurring basis unless cancelled. Cancellation must be requested in writing at least fourteen (14) days prior to your next scheduled billing date.
Membership fees are non-refundable, and no partial refunds will be issued for unused time. Balanced Beings reserves the right to suspend or cancel a Membership in cases of non-payment or breach of these terms.
Internal Information Sharing
To provide you with the highest quality care, your case details, test results, and treatment progress may be securely shared between Balanced Beings practitioners - including Senior Naturopaths - for discussion, supervision, and treatment planning.
This collaboration ensures continuity of care, accuracy in treatment, and the best possible health outcomes.
Confidentiality & Privacy
All shared information remains strictly confidential and is handled in line with the Australian Privacy Principles. Access is limited on a need to know basis only when directly involved in your care, and no information will ever be shared outside Balanced Beings without your explicit consent, unless required by law.

Cancellation & Reschedule Fees
Clients / carers are expected to notify us via email to info@balanced-beings.com.au if the client is unable to attend the appointment.
We require a minimum of 48 hours' notice before scheduled appointments for all reschedules and cancellations. The below fees and charges apply if changes are requested within this period:
- Between 48h - 24h notice = $50 late notice fee

Between 24h - 1h notice = $100 late notice fee

<1h and no shows = Full consultant fee is due
Late / Non-Payment of fees
Further services and products will not be provided until full payment is received. Payment of consultation fees is due on the day of your consultation. If payment is not received within a 7 day period, an administrative late fee of 10% of the total invoice value may be applied every 7 days, up to a maximum of 20% over a 14-day period.
If payment remains outstanding 14 days after the invoice date, your account may be referred to a credit management agency, and you will be restricted from accessing any further services.
AI Charting
Heidi Health and Practice Better AI charting are innovative platforms designed to help us provide you with a more personalized and efficient experience. Through these systems, we will be able to record and transcribe your sessions to capture key details. These recordings will allow us to revisit important aspects of your progress, offering an easier platform for collaboration and improved result outcomes within our clinic.
How will this affect my appointments?

Audio Recording: With your consent asked before every session, audio from your sessions will be recorded by the stated platform. These recordings will be used strictly for improving the quality of our sessions and enhancing the personalized care we provide.

Confidentiality: Your privacy and confidentiality are our top priority. All recordings will be securely stored in a manner exceeding the requirements of the Australian Privacy Principles and above the standard of ISO recommendations. This information will only be accessible to the naturopaths at Balanced Beings.

Benefits: This service aims to improve follow-up support, enhance feedback, and ensure that nothing important from your sessions is missed. It also allows us to track your progress over time more effectively.

Disclaimers & Acknowledgements
Medical Disclaimer
Balanced Beings provides services based on current clinical knowledge and testing results. Individual results may vary. No guarantee of specific outcomes is provided. Health outcomes depend on client compliance, lifestyle factors, and variables outside our control. To the extent permitted by law, Balanced Beings excludes liability for indirect or consequential loss and limits liability to the amount paid by the client for the relevant service. Naturopathic care is complementary and does not replace medical care. Clients are responsible for maintaining communication with their primary healthcare provider.
You confirm that the health information you provide is accurate and complete, and that you will inform us of any changes to your medical status.
Supplement Disclosure
You acknowledge that supplements may cause side effects or interactions. You agree to disclose all medications, allergies, and relevant health information before commencing products.
Balanced Beings is not responsible for misuse, failure to follow dosage instructions, or failure to disclose relevant information. Your rights under Australian Consumer Law remain unaffected.
Parent / Guardian Consent
If services are provided to a minor, the signing parent or guardian confirms they have legal authority to consent to treatment and accept financial responsibility. Balanced Beings does not mediate parental or custody disputes.
Emergency Care
Balanced Beings does not provide emergency medical services. In an emergency, contact your GP, dial 000, or attend your nearest hospital.
Feedback & Complaints
Balanced Beings encourages feedback and is committed to addressing all complaints or feedback seriously and promptly.
